• Lifespan of the project

    Hi there,

I think it's a cool idea to implement GTD in Notes. Some thoughts on the project:

    • ideally this project should have a short live span and fold back into the OpenNTF Mail Template once it is completed. Otherwise we create a maintenance nightmare (and nobody wants to do maintenance).

There are several areas you need to look at:

      a) Stuff other than email

      – This items should rather live in the Journal database (???) because then they could sync with mobile devices

      b) Action form (the famous GTD diagram)

      – This could replace the normal followup form (configured by a setting in the profile, so you can switch it on and off)

      c) Tickler file

      – Would that better go to Journal too (because of the sync)

      d) Action list

GTD suggest to have lists (in Notes: folders, categories???) for Phone, People, Errants, Computer etc. eventually Notes would allow to have more than one criterium applied. E.g.

Clarify budget scope with John would go into Phone and John. So if I see John it would be there or if I have time to make a call I could decide to call John.

Btw the infamous Lotus Agenda did work exactly that way.

So I would have the following fields:

      List: (e.g.Phone/Computer)

People: Who that is related to (can be empty)

      When: (day/month/empty)

Waiting for reply from: (Timeout date?)

      Project:

      — When reading an email ideally there would be some area where all the "waiting for" for the sender is listed. So I could tick it off if that was the case.

I suggest using a take-off of the to-do form for the action and tickler tasks of GTD. The journal may be too unstructured, and require significant effort to add the proposed GTD functions.
