• Forward mail when Delegating

By Javier Ponce 2 decades ago

Hello, I don't know what happened with my previous posting but it was completely blank (maybe a trick from Firefox). Anyway I just posted 2 questions because I downloaded the Productivity Tools template and I found it great. The questions I have are these:

1- When I perform any action on an e-mail in the Inbox (Action, Delegate, etc) it dissapears from the Inbox even when I don't select to do so, by checking the "Remove from Inbox" box.

2- When I Delegate any e-mail in the Inbox, only the Task dialog appears, without the possibility to forward the mail to another person, supposed to be the responsible for that task.

I would like to know if this is the behavior of the current releaso or just a wrong installation. I just applied the template to my existing Database.

Thanks in advance and regards from Argentina

      Hello Javier,

      Answering your questions:

1- When I perform any action on an e-mail in the Inbox (Action, Delegate, etc) it dissapears from the Inbox even when I don't select to do so, by checking the "Remove from Inbox" box.

Ans: Using any of the actions (Action, Delegate, etc) moves the mail to the respective folder. Check the folders to see this mail. The Function o "Remove from Inbox" is a feature that I have left intact from OpenNTF Mail Experience template (this template is based on that one).

2- When I Delegate any e-mail in the Inbox, only the Task dialog appears, without the possibility to forward the mail to another person, supposed to be the responsible for that task.

Ans: This is by design. At present I do not have the programming skills to design this option which would forward the mail to the person (although even I want the same functionality!!). Currently the process to be followed is:

      a. Forward the mail to whoever you wish to delegate the task.

      b. Use Send and File and save the sent mail in the inbox.

      c. Now use the Delegate button and update required details.

      d. This will cause the sent mail to move to Waiting For folder.

      e. From this folder you can reminder when appropriate

Hopefully, someday, I can automate these steps from a. to e. Or would love it anyone could help me in programming this functionality.

Glad that the template is of use to you.

      Cheers,

      Dear KoolPal:

For the first answer I have realized that, according to David Allen's method, no mail should stay in the Inbox, once the processing starts. Thanks for the clarification.

Regarding the second answer, I was thinking about using that procedure, but just asked in case I had a wrong installation or something else.

Thanks for everything and have a nice week.
